Takes a Salesforce report CSV and creates a folder for each\n  account containing summaries, ZoomInfo contacts, scoops, partnership overlap,\n  Gong engagement data, Google Drive links, and call transcripts. Optionally cleans\n  up Desktop screenshots. Trigger for: \"organize my book of business\", \"create\n  account folders\", \"build my book\", \"set up my accounts\", \"folder for each\n  account\", or any request to organize account data into folders. Also trigger\n  when a rep uploads a SF report and asks for account-level organization, better\n  account context, or folder structure. Use proactively when a rep mentions being\n  overwhelmed by their accounts or needing better organization.\n---\n\n# Book of Business Organizer\n\nBuild a structured, enriched folder system for every account in a sales rep's book.\nOne upload, one prompt, full organization — account summaries, contacts, signals,\nengagement data, transcripts, and Drive links, all filed per-account.\n\nThis skill was built from a real G2 Mid-Market AM workflow managing 75+ accounts\nacross $1.5-2M in ACV. It works for any rep with a Salesforce report.\n\n---\n\n## What It Produces\n\n```\nDesktop/Book-of-Business/\n├── CLAUDE.md                    ← Lightweight routing index (top accounts, risk, architecture)\n├── snapshots/                   ← Timestamped copies of source CSVs for temporal tracking\n├── Appfire/\n│   ├── ACCOUNT.md               ← Single unified file: YAML frontmatter + hot/warm/cold sections\n│   ├── account.json             ← Machine-readable metadata for programmatic queries\n│   └── transcripts/             ← Gong call transcripts (where available)\n├── Canto/\n│   └── ...\n└── [more accounts]/\n```\n\n### ACCOUNT.md Structure (hot → cold ordering)\n```yaml\n---\naccount: Appfire\nacv: 181000\nrenewal: 1/9/2028\ntier: high\ncalls_12mo: 15\nrisk: none\nlast_updated: 2026-03-16\n---\n```\n- **Hot data** (changes weekly): Gong activity, action items, recent visitors\n- **Warm data** (changes monthly): overview, links, engagement, adoption, contacts, partnerships\n- **Cold data** (reference only): Google Drive links, signals history, transcript index\n\n---\n\n## How to Run This Skill\n\n### Step 0: Identify what the rep has available\n\nBefore doing anything, figure out what data sources are available. Ask the rep\n(or check what they've uploaded/connected) for these — listed from essential to optional:\n\n| Priority | Source | What it gives you |\n|----------|--------|-------------------|\n| **Required** | Salesforce report CSV | Account names, ACV, renewal dates, CSM, adoption scores |\n| Nice to have | ZoomInfo contact CSVs | Contacts with titles, emails, phones, LinkedIn |\n| Nice to have | ZoomInfo scoops CSV | Market signals (hiring, funding, acquisitions) |\n| Nice to have | Partnership report HTML | Partner overlap data for co-sell plays |\n| Nice to have | Gong call report CSV | Call counts, last call dates, engagement tiers |\n| Nice to have | Google Drive access | Account-specific docs and folders |\n| Nice to have | Downloads folder access | Downloaded Gong transcripts to file into accounts |\n\nThe Salesforce report is the only hard requirement. Everything else enriches the\noutput but isn't blocking. Build what you can with what you have.\n\n### Step 1: Parse the Salesforce Report\n\nThe SF report CSV is the foundation. It contains the account list and core data.\n\n**Column detection:** SF reports vary by org and saved report config. Don't assume\nexact column names — look for these patterns and map flexibly:\n\n| Data needed | Common column names |\n|------------|-------------------|\n| Account name | `Account Name`, `Account`, `Vendor Name` |\n| ACV | `Total Current Vendor ACV`, `ACV`, `Total ACV (USD)`, `ARR` |\n| Renewal date | `Next Upcoming Renewal`, `Most Recent Contract End Date`, `End Date`, `Renewal Date` |\n| CSM | `Customer Success Manager`, `CSM`, `Success Manager` |\n| Website | `Website`, `Account Website` |\n| Adoption score | `Vendor Average Adoption Score`, `Adoption Score` |\n| Last login | `Days Since Last Login`, `Last Admin Login` |\n| Main contact | `Main Point of Contact`, `Primary Contact` |\n| SF Account ID | `Account 18 Digit ID`, `SF Account ID`, `Account ID` |\n\n**Encoding:** Always try `latin-1` encoding first — SF exports frequently contain\naccented characters (André, José) that break UTF-8. Fall back to `utf-8-sig` then `utf-8`.\n\n**Creating folders:** For each account, create a filesystem-safe directory name:\n- Strip characters: `< > : \" / \\ | ? *`\n- Replace `.` with `_` (avoids hidden file issues on macOS)\n- Preserve spaces and commas for readability\n- Handle double spaces (some SF data has them — preserve as-is for matching later)\n\nRun the bundled script: `python3 scripts/build_folders.py`\n\nThis creates the folder structure and writes the initial `ACCOUNT.md` (with YAML frontmatter)\nand `account.json` for every account. Subsequent enrichment steps append sections to ACCOUNT.md\nand update account.json.\n\n### Step 2: Enrich with ZoomInfo Data (if available)\n\nIf the rep uploaded ZoomInfo contact CSVs and/or a scoops CSV, run:\n`python3 scripts/enrich_zoominfo.py`\n\n**Contacts:** Parse both contact export formats (they have slightly different column\nlayouts). Deduplicate by full name. Sort by management level: C-Level → VP → Director\n→ Manager → Staff. Write `contacts.md` with a summary table and detailed profiles.\n\n**Scoops/Triggers:** Categorize by type with emoji indicators:\n- 🟢 Hiring Plans — growth signal\n- 🟡 Open Position — potential champion change\n- 🔵 Person-Based — contact movement\n- 🔴 Acquisition — potential org change\n- 💰 Funding Round — budget signal\n- 🆕 New Offering — product expansion\n\nSort by date descending (most recent first). Append contacts and scoops sections to `ACCOUNT.md`.\n\n**Account matching is the hardest part.** Company names differ across systems:\n- SF: \"Privacera  Inc\" (double space), ZoomInfo: \"Privacera Inc\"\n- SF: \"Customer.io\", Folder: \"Customer_io\" (dots replaced)\n- SF: \"ZINFI Technologies, Inc.\", ZoomInfo: \"ZINFI\"\n\nUse a fuzzy matching function that tries: exact folder name match → case-insensitive\nmatch → contains match → first-word match. See the bundled script for the implementation.\n\n### Step 3: Add Partnership Overlap (if available)\n\nIf the rep has a partnership report (typically an HTML file with embedded JS data\ncontaining a `const ACCOUNTS = [...]` array), parse it and write `partnership-overlap.md`\nfor each account.\n\nAppend partnership section to `ACCOUNT.md` with: partner list, population types\n(Customers, Open Opportunities, Prospects), and influence play suggestions.\n\n### Step 4: Add Gong Engagement Data (if available)\n\nIf the rep uploaded a Gong call report CSV, run: `python3 scripts/add_gong.py`\n\n**Column detection for Gong reports:**\n\n| Data needed | Common columns |\n|------------|---------------|\n| Account name | `Account Name` |\n| Call count | `Gong Calls (Last 12 Months)`, `Total Calls` |\n| Last call date | `Most Recent Gong Call (SF)`, `Most Recent Call`, `Last Call Date` |\n| ACV | `Total ACV (USD)`, `ACV` |\n| Notes | `Notes`, `Engagement Tier` |\n\n**Engagement tiers** (calculate if not provided):\n- 🟢 High: 10+ calls\n- 🟡 Medium: 5–9 calls\n- 🔴 Low: 1–4 calls\n- ⚫ None: 0 calls\n\n**Risk flagging:** Add warning callouts for:\n- Zero calls: \"⚠️ ENGAGEMENT RISK: No recorded voice interaction in 12 months\"\n- 1-2 calls: \"⚠️ LOW ENGAGEMENT: Needs more touchpoints to protect renewal\"\n- 3-4 calls: \"⚡ WATCH: Consider increasing cadence ahead of renewal\"\n\nInsert the Gong section into each `ACCOUNT.md` as hot data (near the top).\nStrip any existing Gong section first (idempotent updates). Also update the\nYAML frontmatter fields (tier, calls_12mo, risk) and account.json engagement block.\n\n### Step 5: Connect Google Drive Documents (if Drive MCP is connected)\n\nSearch Google Drive for account-specific documents. Use `google_drive_search` with\nqueries like:\n- `name contains '{account_name}'` for each account\n- `fullText contains '{account_name}' and mimeType = 'application/vnd.google-apps.folder'`\n\nAppend Google Drive section to `ACCOUNT.md` with document titles, links, and last modified dates.\n\nThis step requires the Google Drive MCP connector. If it's not available, skip it\nand note in the CLAUDE.md that Drive links weren't connected.\n\n### Step 6: Map Downloaded Transcripts (if Downloads folder is accessible)\n\nSearch the rep's Downloads folder for Gong call transcripts. Common patterns:\n- `call-transcript--{Account} + G2*.txt`\n- `call-transcript--G2 x {Account}*.txt`\n- `call-transcript--G2 & {Account}*.txt`\n- `*.transcript.vtt` files\n- `*Transcript*Summary*.docx` files\n\nFor each transcript found, match it to an account folder using the filename. Copy\nthe file into a `transcripts/` subfolder and append a transcript index section to `ACCOUNT.md`.\n\nRequest access to the Downloads folder with `request_cowork_directory` if needed.\n\n### Step 7: Clean Up Desktop (if requested)\n\nIf the rep asks to clean up their Desktop (or you notice it's cluttered with\nscreenshots during the process):\n\n1. Request Desktop folder access\n2. List all files — identify images (`.png`, `.jpg`, `.jpeg`, `.gif`, `.webp`)\n3. Show the rep what you found: \"I see 99 screenshots on your Desktop. Want me to remove them?\"\n4. Request delete permission\n5. Remove the image files\n6. Confirm the cleanup\n\nBe careful: only remove obvious screenshot/image clutter. Don't touch documents,\nspreadsheets, or anything that looks intentional.\n\n### Step 8: Write the CLAUDE.md Routing Index\n\nCreate a lightweight `CLAUDE.md` at the root of the Book-of-Business folder. This\nis a routing index — NOT a data dump. Its job is to give Claude (and the rep) a\nfast overview and tell them where to look for details.\n\nInclude:\n- **Quick Stats:** Account count, total ACV, last updated date\n- **Architecture:** Description of ACCOUNT.md / account.json / transcripts/ structure\n- **Top 20 Accounts by ACV:** Sorted table with renewal dates, tier, and risk\n- **Engagement Summary:** Tier counts (High/Medium/Low/None)\n- **At-Risk Accounts:** Table of accounts with 0-2 calls, sorted by ACV\n- **How to Query:** Example jq/grep commands against account.json files\n- **Data Sources:** List of input files used\n\nAlso create a `snapshots/` directory and copy the source CSVs there with a date\nprefix for temporal tracking across updates.\n\n### Step 9: Verify\n\nRun a final verification pass:\n- Count account folders created\n- Check file coverage percentages for each file type\n- Spot-check 3-5 accounts to ensure data looks correct\n- Report the summary to the rep\n\n---\n\n## Important Patterns\n\n### Encoding\nAlways use `latin-1` encoding when reading CSVs from Salesforce and ZoomInfo.\nThese exports frequently contain accented characters that break UTF-8.\n\n### Idempotent Updates\nThe scripts should be safe to re-run. When adding Gong data to existing summaries,\nstrip the old section before inserting the new one. When creating folders, use\n`os.makedirs(exist_ok=True)`.\n\n### Account Name Matching\nThis is the single biggest source of bugs. Names differ across SF, ZoomInfo, Gong,\nGoogle Drive, and the filesystem. Build a robust matching function that handles:\n- Case differences\n- Punctuation differences (dots, commas, periods)\n- Suffixes (Inc, Inc., LLC, Corp)\n- Double spaces\n- Unicode characters\n- Common abbreviations\n\n### Single-File Architecture\nEach account has ONE `ACCOUNT.md` with YAML frontmatter (machine-parseable metadata)\nfollowed by sections ordered hot → warm → cold. This eliminates 6 separate files per\naccount and gives Claude a single file to read for full context.\n\n`account.json` is the machine-readable companion — use it for programmatic queries\n(find all accounts renewing before Q3, list high-risk accounts, etc.).\n\n---\n\n## Suggested One-Shot Prompt\n\nHere's the prompt a rep can use to kick this off (customize for their situation):\n\n> I just uploaded my Salesforce report. Please organize my book of business —\n> create a folder for each account on my Desktop with everything you can pull\n> together: account summaries, contacts, engagement data, transcripts, and\n> Drive docs. Clean up my Desktop while you're at it.\n\nThe skill handles the rest.\n","url":"https://ai.g2.com/blueprints-api/playbooks/Jf1ZnuQKEqIRNbO/install?revision=1&t=0.bJV8OL5ZNIyS1YlXQXyiZdrdMhPkr71E2N-nOhUDaJ4&file=book-of-business.md"}]}
